External Phone Assistant

Answers like a colleague.
Files every detail.

Forward your line when you can’t pick up. AgentFront handles the conversation, then writes it up: recording, transcript, summary, Rex records, a task, and a confirmed appraisal if one was agreed.

Avg. 2 booked appraisals per week across our live agencies. Free until it books your first appraisal.

Nathan Reid, a contact the agency already holds, rings a line forwarded from an agent, so the assistant greets him by name. He asks about the house on Halden Street. The assistant looks the listing up and tells him it is 44 Halden Street, the four bedroom, open on Sunday from quarter past twelve until quarter to one. He asks for the details by text and mentions he would have to sell Bexley Court first, so the assistant offers a free appraisal on Thursday at two or Friday morning, and he takes Thursday at two. After the call ends, AgentFront texts him the listing details, writes the contact and call note into Rex, puts the appraisal in Google Calendar, records him as a seller, adds the property he has to sell, and writes the summary of the call. Booking an appraisal raises no follow-up task, so the record has none.

Trained on the calls an agency actually receives.

Each caller type gets its own conversation flow that collects the details your team needs to call back well.

Buyers

Listing questions answered from the public record. Open home interest captured.

Landlords & investors

Recognised and routed with the details an agent needs to follow up.

Buyer’s agents

Business & personal calls

Non-property calls taken politely and passed on as a message.

What happens during the call, and after it.

Nothing is written to your systems mid-conversation. That separation is what makes the assistant safe to put on a real line.

During the call

  • Greets, identifies what the caller needs, and confirms the property by address
  • Answers listing questions from public realestate.com.au data only
  • Qualifies the caller with persona-specific questions
  • Offers calendar-valid appraisal times and agrees one verbally
  • Offers to text the listing link, but only if the caller asks for it

After the call

  • Recording, timestamped transcript and summary saved to AgentFront
  • Caller classified and matched to the property discussed
  • Contact created or updated in Rex, with a call note
  • Task created for the right team member, with the context attached
  • Agreed appraisal written to Google Calendar and recorded in AgentFront

Included: Internal Phone Assistant

A line your own team can call.

Recognised team members call one shared number and ask about their own working day. Hands free, from the car between appointments.

  • “What’s on my calendar this afternoon?”
  • “Any calls about the Kestrel Street listing today?”
  • “What’s the vendor’s number for 12 Banksia Ave?”

It reads from your listings, leads, contacts, calendar, recent calls and email. It is read-only: it answers questions and never sends, books or updates anything.

Internal call · read-only

“Anything booked for tomorrow morning?”
“You’ve got the Meridan Plains appraisal at 9:30, then nothing until your 1 pm open. Two calls came in overnight, including a seller enquiry that’s already been logged to Rex with a task for you.”

Illustrative exchange. The internal assistant answers only from your own connected data.

How it runs, day to day.

Does the assistant answer all our calls?

Only the ones you forward. Most agencies point their lines at AgentFront on no-answer, busy, or after hours, so a human answers when a human can and AgentFront answers when nobody can. Forwarding is set on your own phones, so you can change it any time.

What does it sound like?

A natural Australian voice, tuned for real estate conversations, including local place names and suburbs. The best way to judge it is to hear it on your demo, on a scenario you choose.

What can it tell a caller about a property?

Exactly what is publicly listed on realestate.com.au for your residential sales and rentals: price guide, features, inspection details and so on. If something is not public, it does not guess. It notes the question and hands your team a task.

How does appraisal booking actually work?

During the call, the assistant checks the agent’s real Google Calendar and offers valid times within the next fortnight. The times it offers allow for working hours, appointment length and buffers. The caller agrees verbally, and the confirmed event, appraisal record, Rex note and task are written once the call ends.

What if the caller is someone the agent knows?

The assistant recognises repeat and known callers and personalises its greeting from prior call history where available. Personal calls are simply taken as polite messages.

Can we review what it said?

Yes. Calls carry a recording and a timestamped, speaker-labelled transcript, plus the summary and records created after the call. If anything looks off, flag the call and it goes to AgentFront support for review.
