Rental Enquiry Email Assistant

Give every property manager ten hours a week back.

Prospective tenants send hundreds of emails, and most ask the same things: when is the next open home, how many bedrooms, where do I apply. AgentFront answers them from your connected Gmail inbox, in your property manager’s own name, and each reply matches the listing’s current status. When a real decision is needed, it creates a task.

A rental enquiry arrives from realestate.com.au for 60 Calder Road in Griffin. Grace Lam asks when the next inspection is, whether it is pet friendly, and whether it has air conditioning. The assistant matches the listing, confirms it is available, and drafts a reply in the property manager’s own voice, answering her three questions in the order she asked them: the next open home is this Sunday 2 August from 9:30 to 10:00 am, and the listing has the property down as pet friendly. Aircon is not mentioned in the listing, so rather than answer it either way the reply says she will check with the owner and come back to her, and the assistant raises a follow-up task for the property manager. The manager reviews and sends the reply, and the thread files into the AgentFront label in Gmail.

The enquirer gets a reply built from the current listing: inspection details, availability, how to apply. It is sent or drafted from your property manager’s own address, with their own signature.

When applications are with the landlord, replies say so, without promising a decision that has not been made.

The enquirer is told the property has gone, and unsent drafts written before the status changed rewrite themselves.

What it does, and what it won’t.

Which emails does it touch?

Only new rental enquiries arriving in the connected Gmail inbox after you activate it. It does not crawl history and it does not touch unrelated mail. One email assistant per agency, watching the inbox you choose.

Who do replies come from?

A real person on your team, the sender you pick. Replies go out from their Gmail address with their own signature, not from a robot address. You choose whether replies auto-send or wait as drafts for approval.

What happens with a private inspection request?

The assistant does not book private or after-hours inspections. It tells the enquirer the team will follow up, and creates a task with the thread attached so a person does.

What if it isn’t sure?

Anything unusual, sensitive or outside the supported scope is marked “Needs review” instead of being answered. Your property manager sees the queue: drafted, sent, and needs-review, all in one place.

Does it handle maintenance requests?

No. The email assistant is for enquiries from prospective tenants about listed rentals. Maintenance, trades and owner approvals are a different job, and not one this product does today.
